In accordance with the established vision and values of the organization, the Freedom of Information (FOI) Analyst works within a team environment and supports processing services within the scope of operations for the Interior Health (IH) FOI Office. Collaborating with multiple internal and external partners, the FOI Analyst coordinates the ongoing development of comprehensive tools and processes to support compliance to requests made under British Columbia’s Freedom of Information and Protection of Privacy Act (FIPPA). This also includes development, implementation, and maintenance of FOI systems and repositories/inventories as required. The FOI Analyst is instrumental in supporting requests for corporate records and internal/external consultations. The FOI Analyst also compiles data from a variety of sources and generates reports to help identify key themes and trends. This role works within a team environment which operates within a complex, dynamic environment which serves communities across IH. Typical duties and responsibilities: Works collaboratively with FOI team members to support and maintain the business processes necessary for Interior Health to comply with all relevant legislative requirements by: Coordinating the FOI intake process including, but not limited to requests by email, physical mail, phone calls, and/or other future technology. Locating and requesting records from record holders within Interior Health program areas. Assisting with the consultation process including, but not limited to fee assessments and third party consultations. Preparing letters at the request and guidance of FOI team members and releasing finalized records. Assisting FOI team members including Manager, Information Privacy and FOI through Office of the Information & Privacy Commissioner for B.C. (OIPC) appeals. Working collaboratively with internal colleagues and other interested parties. Assists FOI team members in the development and delivery of FIPPA education, corporate wide awareness campaigns, and training materials to IH staff. Identifies best practices and supports improvements to FOI business processes, workflows, standard operating procedures. Maintain and monitors the FOI tracking system and preparing reports that identify key themes and trends. Assist in the coordination of other assigned FOI-related projects by ensuring timelines and deliverables are met; and evaluating outcomes. Acts as a liaison with all employees and medical staff across Interior Health as well as external partners to support and promote transparent and accountable access processes to information. Maintains awareness of FOI trends and issues and acts as a role model for continuous learning through methods such as literature review; contact with peers at other organizations; and attendance at seminars, workshops, conferences, and education programs. Further maintains awareness with orders from the OIPC and informs FOI team members of any insight or assessment from the orders. Supports the Manager, Information Privacy and FOI with orientation of new staff and arranges identified training. In alignment with IH’s Occupational Health & Safety Program, employees shall adhere to all Occupational Health and Safety policies and procedures at all times and attend all required training. Employees are responsible to report any identified hazards, unsafe conditions or incidents to the manager or supervisor immediately.
