We are currently recruiting for the following role in our Edmonton office: Receptionist Essential Functions: Greet clients, lawyers and staff in a welcoming and professional manner Ensure that all visitors are logged in Firm's internal tracking system Answer, screen and forward telephone calls Take ownership and be proactive in the administration of our client area, ensuring that the reception area is neatly maintained Managing the schedule of meetings, events and attendees in our meeting room management database Working closely with our Hospitality and Facilities team Responsible for sourcing and arranging catering and IT equipment for meetings Build and maintain positive professional relationships with staff, lawyers and clients Correspond with reception and colleagues in other office locations to coordinate meetings and visits from lawyers and managers Answer general inquiries in a timely and professional manner Member of our office fundraising and social committees, coordinate and execute research and tasks as delegated from Chair Provide administrative support as needed to various departments such as, marketing, accounting, communications and any other staff/lawyers Coordinate and maintain our in-house Library; communicating with our other locations for book disbursement and returns Other administrative duties as required Qualifications: A minimum of 2 years' administrative experience in a professional office or hospitality environment Knowledge of or experience with a computerized switchboard and large meeting room booking software (Rendezvous) Excellent communication skills and superior client relation skills with a keen sense of professionalism Proficient computer skills including, MS Outlook, Word, intranet and legal based software programs Ability to work as a team and good problem solving abilities Self-motivated, highly organized with the ability to multi-task in a fast-paced work environment
