We are looking to fill an Administrative Coordinator, Talent Management position, in hybrid mode based 3 days per week at our downtown Montreal Office. The individual will be responsible to support the team with a wide range of talent management (TM) activities with a greater focus on recruitment and onboarding. The person will contribute to the overall success of the TM initiatives, programs, and various projects by providing a high-level customer service and quality through administration and coordination support. In this role, you will interact with potential prospects, candidates, employees, managers, TM colleagues and other third-party professionals globally. WHAT YOU'LL BE DOING | THE ROLE Talent Acquisition and Onboarding Assist the Talent Acquisition throughout the entire recruitment process: Prepare, format, and translate jobs postings. Create job profiles and job requisitions in Workday HCM. Coordinate posting on different job boards and sourcing platforms Collaborate to the organization of on-campus events. Engage in candidate communication, schedule interviews, and distribute online assessments and background verification links. Responsible for the coordination of new employee onboarding: Ensure that onboarding tasks are initiated in Workday HCM and follow through completion. Follow-up with IT, Corporate Services, and other departments assisting hiring managers on setting-up new hire workstation, laptop, phone, system accesses, as needed. Assist hiring managers with the preparation of onboarding plan, welcome messages, and integration meetings. Send new employee mandatory training links and follow-up to completion. Talent Management and administrative support Organize new employee files and manage virtual HR records while ensuring the strict confidentiality of employee data. Coordinate the approval and payment of TM invoices. Assist with employee movements and terminations in Workday HCM and follow-up on off-boarding tasks and exit interview questionnaire. Prepare templates, presentations, memos and announcements, reports, various letters and assist with occasional mass mailing. Prepare the act to promote workforce skills development and recognition report. Participate to Top Employer initiatives, and other program branding initiatives. Coordinate various employee events such as birthday celebrations, recognition for years of service, annual retirees’ luncheon, sending flowers/donations for life events, etc. Ensure the content of the TM page is regularly updated and maintained on SharePoint. Participate with Employee handbook regular updates and changes. Assist with various projects, process mapping, and improvement as required. Support the team with various ranging projects. WHAT YOU BRING | THE PERSON The ideal candidate has: Post-graduate degree in Administration, secretarial studies or a combination of education and relevant experience. A minimum of 5 years’ experience in a similar support role to an HR team or in an office environment. Excellent knowledge of MS Office (PowerPoint, Word, Excel, Adobe, Outlook) with strong skills in document creation and formatting. Excellent communication and interpersonal skills. Experience managing ambiguity and competing priorities, understanding immediate roadblocks and urgent tasks. Strong ability to build and maintain positive rapport and trust while maintaining confidentiality. Excellent organizational and time-management skills. High level of accuracy and attention to detail. Ability to thrive in a dynamic environment with sometimes minimal guidance. Curiosity to continuously self-develop your skills and knowledge.
