Please note schedules may change due to operational needs.Compensation: BAND Q Range: $35.58 - $41.73ResponsibilitiesWe are seeking a detail-oriented and organized CMMS Coordinator to oversee the management and administration of our Computerized Maintenance Management System (CMMS). The CMMS Coordinator will be responsible for collecting equipment data, defining tasks and work requests, and analyzing department performance to drive improvements. The role involves generating detailed reports and providing training to CMMS end users. The ideal candidate will ensure that policies and procedures are followed, maintain data integrity, and support quality planning initiatives. Additionally, they will ensure the team meets key performance indicators (KPIs) related to work order metrics and overall system performance.Generate detailed and accurate reports for management to monitor performance, trends, and compliance.Provide hands-on training and support to CMMS end users, ensuring proper use of the system and adherence to best practices.Maintain the integrity and accuracy of CMMS data to support quality planning and decision-making.Collaborate with maintenance teams and other departments to streamline workflows and improve maintenance operations.Provide admin support to the Supervisor, Manager, Director and the department as a whole to ensure data integrity, quality planning, and KPI work order metrics are achieved by the team.Maintain and update equipment database and preventative maintenance program.Provide data collection procedures, forms and checklists to support data inputs into service maintenance management database.Maintain equipment inventory including data entry for new and existing equipment, generate labels and update maintenance schedules or job plans.RequirementsPerforms data analysis on parts, assets and recommend software enhancements and process changes.Ensures that records are up to date regarding all maintenance activities.Compiling and analyzing workload statistics and system reports using preventative maintenance software.Maintain dashboard to measure the department and the individual performance with several metrics.Measures and publishes Plant maintenance KPI metrics to the management team; interprets data and recommends findings.Provides suggestions and assists with improvement of relevant procedures, resources and KPI’s.Creates preventative maintenance schedules based on assets.Generates reports to review Technician workload with team and managers.Provides resource allocation recommendations to assist with optimizing resource utilization.Responsible for reviewing the department budget with the manager on a weekly basis.Assists department’s management with forecasting operational and capital expenses.Facilitates communication between different departments such as Plant Maintenance, Occupational Health and Safety and Research Operations to ensure work is carried out as per hospital policies and procedures, and impacted areas are aware of work being conducted in proximity to them and the impact it may have on their day-to-day functions.Drafting and composing various correspondence, reports, presentations and proposals on behalf of the Manager or the Director as required.Assisting in obtaining ministry funding for infrastructure renewal and replacement through HIRF applications and processes, inclusive of acting as a primary advocate for infrastructure needs.Issue purchase orders and process invoices for the department.Assisting in organizing and maintaining technical information, regulatory compliance records, licensing and certification of all elements of HVAC system, elevators, electrical etc.Coaches and educates staff on the CMMS functions and best practices for performing tasks.Who we are: Oak Valley Health is one of Ontario’s leading community healthcare organizations.
