Position SummaryWe are looking for a self-motivated individual to join our Construction team as a Inventory and Project Analyst. This distinctive position is tailored for an exceptionally organized, detail-oriented individual who will excel in closely collaborating with our project managers to deliver solutions to our customers. Adherence to stringent construction deadlines will make this role exciting and face paced.  The successful candidate will be instrumental in linking our operational and logistical efforts, by managing business inventory while facilitating the on-target delivery of materials to our customers. The individual in this role will significantly influence the success and continued growth of our construction business. This role is ideal for a candidate who is passionate about creating a direct impact, enjoys the challenge of fulfilling multiple roles, and is eager to ensure both project and inventory excellence within a collaborative and dynamic environment. Job DutiesInventory Analysis: Your role is critical in managing and overseeing the company’s inventory levels. We leave the organization of material and the receiving needs to our amazing warehouse staff team.  Superior Excel skills will be critical to mastering this aspect of the job (your skills will be tested as part of the hiring process).Inventory Tracking and Management: Monitoring and managing inventory levels to ensure sufficient supply without overstocking. This includes tracking inventory in real-time using inventory management systemsOrdering Inventory: Placing orders for new inventory based on demand forecastsInventory Analysis and Reporting: Analyzing inventory levels, trends, and data to produce reports for management, assisting in decision-making related to inventory needs, order timing, and inventory adequate inventory levels. Develop and update forecasting reports to ensure inventory levels are adequate.Collaboration with Other Departments: Working closely with sales, project management and logistics departments to forecast demand accurately, plan inventory needs, and coordinate inventory distributionCost of Goods Sold Monitoring: Run reports and analyze cost fluctuations for input products, to review with management Product Database Management: Create new product codes in our database as we incorporate new materials in our clever solutions, maintain and distribute our product price/cost database Information Entries: Order and Data entry to ensure databases remain current and accurateProject Administration: Your role is essential for maintaining the organizational framework of projects, freeing up our Project Managers to focus on strategic planning, execution, and stakeholder management. Your work ensures that the administrative and logistic elements of projects are handled efficiently and effectively.  Document management: Execute the Project Start up process by administratively organizing the project by creating the job folder, organizing the estimating files, setting up the Engineering Templates, collecting the customer’ job contact and shipping details, splitting the order based on the Tecoustics’ sales categories Data Entry: Enter Bill of Material sheets derived from the Engineering team, coordinate shipping dates with customer and release projects into production for shippingPurchasing: Identify when material is to be purchased outside of our inventory or fabricated by our internal team. Create/Submit Purchase Orders and Work Orders with adherence to order deadlines.TeamWork: Coordinate with Project Managers for project requirements including obtaining vendor quotes, issuing quotes for Change Orders and processing change ordersCompliance: Ensuring the project complies with organizational policies and standards. Including managing the approval of credit, coordinating a billing schedule to accommodate credit approval, ensuring projects are only being supplied to customers who are in good credit standingMonitoring: Run and action monthly reports to assess accuracy of project backlog across the companyBudget Assistance: Create reports for Project Managers to help assess health of projectsCommunication Assistance: Assisting in internal and external communications, drafting emails, memos, and updates to ensure stakeholders are kept informed of project status and developments. Qualifications & Other DetailsComputer Science or similar degree Financial Management program/degree preferredMinimum of 5 years experience with data managementDemonstrated experience tracking inventory and managing inventory systemsExperience with business systems mandatory (CRM, ERP,) we utilize Zoho and Quickbooks to facilitate orders and track financials and inventoryMinimum of 5 years experience working in an analyst or coordinator role in a fast-paced environment, Must have construction or manufacturing industry experienceKnowledge of accounting an assetHighly proficient and working experience with Excel, Word, Gmail, Adobe, you’ll need to prove itThis role can be remote for the right candidateThe interview process includes a practical assessment of your understanding relating to inventory management and Excel skills – ie. Pivot Tables, VLookups and formula creation. You MUST demonstrate your abilities as an Intermediate > Expert level Excel user.
