JOB SUMMARY:

As the Logistics & Transport Specialist, your primary objective is to oversee and manage the comprehensive transportation, logistics, and financial operations for our company's Eastern region. Your attention to detail, ability to maintain strong relationships with key stakeholders such as CN and the Port of Montreal and foster very good relationships with internal stakeholders will be critical to the success of our supply chain operations. This role demands meticulous attention to detail and adherence to regulatory requirements across various aspects of transportation, including import and export compliance, domestic transfers, rail fleet management, claim management, pallet inventory management, and financial oversight. By ensuring compliance with government regulations, maintaining up-to-date freight rates, optimizing transportation efficiency, and managing financial resources effectively, you will play a crucial role in enhancing the efficiency and cost-effectiveness of our supply chain operations.

RESPONSIBILITIES:

1. Import & Export
• Ensure compliance with government and industry laws related to transport and customs and communicate updates to relevant departments.
• Maintain up-to-date freight rates for different lanes in the system.
• Ensure completeness and compliance of all required documents for deliveries to Canadian, U.S., and international customers.
• Coordinate overseas and inbound container shipments, as well as inter-North American transport bookings.
• Possess knowledge of international export rules for countries such as Asia, the Caribbean, and the USA.
• Support the Purchasing team with import-export deliveries requiring international documentation.
• Track and manage all brokered loads and shipments.
• Follow up on export and import shipments to ensure timely delivery.
• Prepare export and import documents as required for inbound and outbound loads.
• Maintain knowledge of FDA regulations related to import and export processes.

2. Domestic Transfers
• Ensure that freight rates for domestic lanes are competitive and up-to-date in the system.
• Communicate regularly with carriers to track and update the status of shipments in domestic lanes.
• Provide timely status updates on shipments to internal stakeholders.
• Monitor carrier performance and address any issues related to rates or status updates promptly.
• Collaborate with carriers to optimize the efficiency and cost-effectiveness of domestic transportation.

3. Rail fleet management
• Stablish a strong relationship with CN and Port of Montreal
• Take charge of all documentation and communication concerning the delivery and maintenance of railcars.
• Plan and organize all administrative activities related to the delivery of Empty & Full Rail cars.
• Track all rail cars movements to maintain production needs.
• Maintain constant daily communication with CN Customer Service & Port of Montreal to optimize the rail supply chain between facilities.
• Provide daily railcar status reporting.
• Support Production & Quality teams by sending railcars to different shops across the country for maintenance and wash and follow up until they are back in the fleet.
• Ensure rail cars are in compliance with regulations related to quality assurance.
• Monitoring ad reporting sugar returns on monthly basis to finance.

4. Claim management
• Direct transportation-related claims, such as accidents, incidents, or loss of products in transit, to the appropriate channels.
• Follow up on transportation-related claims until final resolution and execution.
• Manage the "Freight" system by customer and type of goods delivered, including by truck, train, or boat.
• Monitor and document all claims and resolutions for future reference and analysis.
• Collaborate with internal teams and external parties to prevent and mitigate future claims.

5. Pallet inventory management
• Review and approve invoices related to pallets and external suppliers.
• Plan and coordinate pallet supply for Eastern facilities to meet operational needs.
• Conduct reconciliation of pallet inventories with suppliers to ensure accuracy.
• Collaborate with suppliers to optimize pallet inventory management and streamline processes.
• Implement measures to minimize pallet-related costs and improve efficiency in pallet usage.
• Provide regular updates and reports on pallet inventory status to relevant stakeholders.

6. Financial Oversight
• Review and approve all invoices related to stakeholders and suppliers involved in transportation, logistics, and railcar fleet management, ensuring accuracy and adherence to budgetary guidelines.
• Coordinate with internal departments, such as Procurement and Accounts Payable, to ensure timely processing and payment of invoices, maintaining positive vendor relationships.
• Generate and provide monthly financial reports to the finance team, highlighting expenditure related to transportation, logistics, and railcar fleet management activities.
• Collaborate with the finance team to analyze financial data and identify opportunities for cost optimization and budgetary efficiencies within the transportation and logistics operations.
• Assist in the preparation of annual budget forecasts for transportation and logistics expenses, providing insights and recommendations based on historical financial data and anticipated future needs.

QUALIFICATIONS:

• Bachelor’s degree in Supply Chain Operations Management or in a relevant field
• A minimum of 5 years of hands-on experience in logistics, supply chain, or equivalent.
• Experience in the food industry (an asset)
• Bilingual (written & spoken)
• Strong attributes or equivalent experience will be considered.
• Proven experience in collaborating with rail carriers, specifically CN and CP.
• Commitment to maintaining quality standards in all logistics processes.
• Team spirit and demonstrates leadership skills.
• Adaptable, analytical, versatile, and able to work under pressure.
