Additional supplemental insurance available, Free base employee only medical insurance401K retirement plans with a 4% match for all colleaguesPaid meal breaks with complimentary meals served in our Staff Dining roomLearning programs through our AcademiesOpportunity to develop your talent and grow within your property and across the worldAbility to make a difference through our Corporate Social Responsibility activitiesFun, elegant atmosphere with amazing colleagues!Summary of Responsibilities:Reporting to the Director of Event Sales & Services, responsibilities and essential job functions include but are not limited to the following:Consistently offer professional, friendly and engaging serviceConfirm all event related information with clients in a timely mannerEstablish and maintain rapport with clients, prior to, during and post conference, encouraging repeat businessOrganize conference, cruise, entertainment and meeting bookings from date of booking to departure, including meeting requirements, guest room requirements, guest room pickup, food & beverage and audio visualCreate detailed event orders and resumes to ensure all operational departments are provided accurate information in a timely manner.Create floor plans for each event to ensure banquets and clients are in agreement prior to set upConduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicatedConduct and/or attend daily meeting to review event contracts and ensure last minute changes are communicated with appropriate departmentsCreate proposals for new event business, process changes to contracts and addendumsOrganize hotel site tours to showcase the Fairmont Olympic HotelInitiate billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frameHandle special projects in addition to daily tasksEnsure open communication with department coordinators, holding consistent one-on-one meetingsSupport and encourage effective working relationships within the team and supporting departmentsFollow departmental policies, procedures and service standardsFollow all safety policiesOther duties as assignedQualificationsQualifications:Previous leadership experience within a similar role preferredPrevious Front Desk, Event Coordinator and/or Reservations experience requiredUniversity/College degree in a related discipline preferredPrevious Property Manager System and Passkey experience preferredComputer literate in Microsoft Window applications requiredStrong interpersonal and problem solving abilities with a high attention to detailStrong organization and time management skillsExcellent communication skills, both written and verbalAbility to work well under pressure in a fast paced environment, handling many tasks simultaneouslyAbility to work independently and complete assigned tasks, as well as work cohesively as part of a teamAbility to focus attention on guest needs, remaining calm and courteous at all timesHighly responsible & reliableAdditional InformationAll your information will be kept confidential according to EEO guidelines.Our commitment to Diversity & Inclusion:We are an inclusive company, and our ambition is to attract, recruit and promote diverse talent.We are an equal opportunity employer.
