A role you will love

This role leads regional Facilities for the North America team which is accountable for real estate portfolio management, property asset management, CAPEX and OPEX management, key stakeholder management, operational facilities management including legislative and company compliance, third-party providers such as landlords, contractors, and consultants, manage projects and maintenance, and conduct incident management of any issues that may cause or risk disruption to the business. The successful incumbent will work with and support all global SME's in establishing global facilities standards and practices with the North American Region.
  • Develop regional real estate portfolio strategy, ensure portfolio is fit for purpose and right sized for the business needs in the short, medium, and long term - with the aim of protecting and optimizing the real estate investment.
  • Oversee & coordinate locational CAPEX and OPEX budgets building into an overall regional budget plan within global budget directions. Ensure that budget plans are monitored and spend is maintained within approved budget parameters.
  • Develop and manage an effective Facilities organization for the North American region.
  • Build trusted relationships with all key stakeholders, anticipate & interpret business needs.
  • Identify the need for lease transactions, major upkeep of workplaces, projects, asset repairs or replacement works across the regional portfolio.
  • Develop business case requests and seek expenditure approval via the Global Head of Facilities. Ensure that business cases clearly articulate all key aspects of the request outlining the existing situational status, reason for the request, containing all relevant metrics, and have all relevant stakeholders buy in, whilst ensuring that the requests align with the Global Facilities budget & strategic direction.
  • Provide regular reports to Global Head of Facilities on each property in the portfolio highlighting key lease or freehold terms, important milestones, headcount, available seats, utilization, occupiers, and key pending decisions and the timing of when such decisions need to be made, together with any pertinent commentary.
  • Cultivate workplaces to enhance amenity and to provide a balance of work settings, meeting rooms and collaborative spaces that are functional, flexible and can adapt to the changing needs of the business.
  • Ensure timely management of lease expiry dates, options, and break clause milestones. Develop strong relationships with Landlords and Sub-tenants. Keep up to date with market movements and key indicators. Ensure at least 3 years look-ahead action planning on all leased and owned holdings.
  • Lead, develop and motivate the regional facilities team, setting goals and managing performance and development.
  • Develop a resource strategy including a combination of in-house staff and external providers for a compliant and cost-effective delivery of facilities services.
  • Accountable for Facilities operations ensuring legislative compliance with local building codes and health and safety activities comply with local legislative requirements and in accordance with the internal Global Health and Safety Policy and Regional Management Plans.
  • Ensure major and/or critical infrastructure are regularly reviewed and that asset management plans are in place.
  • Ensure ESG (environmental sustainability goals) goals that relate to Facilities operations are implemented and ensure that global compliance reporting is accurate and timely.
  • Collaborate with Global Facilities SMEs per their remit to support global initiatives and drive global consistency through standardization.
  • Accountable for ensuring all Facilities providers are engaged on cost effective performance-based contracts that include key performance metrics which are monitored and performance managed.
  • Accountable for site-based business continuity planning and incident management, ensuring that all key stakeholders are informed & updated on incidents as they arise. Conduct post incident reports, review & implement key learnings.
  • Accountable for the management and delivery of property and facilities projects including new property requirements, lease renewals, refurbishments, major building maintenance and asset management. Ensure global workplace design standards are implemented and maintained.
What will you bring to the role?
  • Excellent understanding of portfolio real estate management and facilities strategic and operational management.
  • Expert understanding of the legal and financial aspects of real estate portfolio management including lease transactions.
  • 5+ years in leading large and complex real estate and facilities portfolio for large corporate entities
  • 5+ years experienced in all aspects of financial management of real estate and facilities management.
  • Proven experience in making positively impactful real estate and facilities management strategic recommendations and implementation of same.
