Reporting Relationship: Manager, Cancer Clinic Hourly Rate Range: $26.805 - 27.744 Location:  Wilson Site  Employee Group: NOWU Hours:  8 hour shift on weekdays (subject to change) Position Responsibilities: Provide clerical support including managing, triaging and booking Cancer Care referrals from internal and external sources with adherence to registration standards, data quality, and meeting Ontario Health - Cancer Care Ontario (OH-CCO) metrics for referral wait times Triage First Consult referrals using oncology prioritization checklist, in collaboration with Resource Nurse and Physicians. Send referral acceptance, or decline letters, and communicate oncology First Consult appointments to the referral source(s) Enter and update referral tracker Assign and distribute oncology First Consult referrals among Physicians based on triage criteria that is equitable, and meets the requirements as set by Ontario Health - Cancer Care Ontario Conduct follow-up with Physicians to ensure triage of new referrals is completed on a timely basis as per OH-CCO standards Collaborate with Patient Navigator, Physicians, Resource Nurse and other Clerical Associates in booking neo-adjuvant treatments after surgery for patients with breast cancer and colon cancer as per OH-CCO standards. Provide customer service including scheduling and contacting patients for upcoming appointments, prioritizing and answering patient inquiries, and collaborating with team members for appointment activities Monitor and conduct timely follow-up to both internal and external departments and service areas to facilitate appointments Support care team members in data collection processes required by Ontario Health Cancer Care Ontario Other related duties as required to ensure optimization of Cancer Care Clinic workflowd. Qualifications: High school graduate or equivalent. Completion of a Community College Medical Secretary Diploma an asset. Completion of a medical terminology course preferred. Minimum 1 year full time equivalent recent clerical experience required, preferably in an ambulatory oncology setting. Good keyboarding skills, with minimum typing speed of 40 WPM. Computer proficiency including Microsoft Office Suite. Demonstrated strong knowledge of documentation standards and practices Strong interpersonal skills, both oral and written Demonstrated ability to communicate effectively with internal and external stakeholders Meditech’s Oncology Module and Community Wide Scheduling experience is preferred Familiarity with Ontario Health - Cancer Care Ontario patient care pathways is preferred Excellent organizational and problem-solving skills required, including an ability to prioritize a varied and busy workload Demonstrated ability to cope and adapt with deadlines, frequent interruptions and emergency situations Ability to work independently with minimal supervision in a team environment Knowledge of a second language an asset Demonstrated customer service skills Excellent attendance and discipline free record required Applicants may be required to successfully complete full administrative testing, to include typing speed and MS Office.
