SAIT's Academic Systems Office enables the development of business process consistency and improvements within the Academic Portfolio at SAIT. The team will work across the schools to gather and analyze feedback to improve and innovate the way work is completed within the portfolio.

The Opportunity

Reporting to the Director, Academic Systems within the Academic Portfolio, the Business Analyst will play a crucial role in advancing the academic processes and systems at SAIT. You will work collaboratively with other Business Analysts and stakeholders in the academic portfolio, with a primary focus of enhancing the academic portfolio operations to enable student success.

You will be responsible business process improvement requirement gathering and analysis, solution assessment and validation, stakeholder management, supporting project and change management and documentation and reporting to meet the specific needs of the academic portfolio.

Effective interpersonal and communication skills are essential, as the incumbent will foster collaboration and strengthen partnerships both within and beyond Academic Systems to enhance a data-driven culture. This involves methodically evaluating the existing collaboration frameworks, identifying areas for enhanced integration and interaction, and developing methods to broaden the scope and impact of data-centric collaborations across departments.

Facilitation and analysis skills are required to support ongoing efforts to bolster a efficient processes and a data-driven culture within and beyond Academic Systems. This includes assessing current state, identifying opportunities for enhancement, and implementing strategies to create ease of work and expand reporting capabilities.

In addition, you will be asked to evaluate current state and resources, alternative technology tools, and develop and drive solutions as they pertain to form-based processes; including multi-level approvals.


The Role
  • Requirements Gathering, Process Digitization and Reporting - 40%
  • Collaborate with stakeholders including academic schools and departments and support teams to understand business needs and requirements related to student information management.
  • Conduct discovery meetings, workshops, and surveys to gather comprehensive requirements for process enhancements and implementations.
  • Document business requirements, process flows, use cases, and functional/non-functional specifications for proposed solutions.
  • Translate business requirements into technical specifications to enable configuration and customization.
  • Document existing state, design enhancements, and develop digitized process workflows (including multi-level approvals, etc.) to support business operations.
  • Engage stakeholders to identify challenges and positives with the current state.
  • Design improved digitized processes that support business operations.
  • Develop and implement new digitized process assets, including change management with relevant stakeholders.
  • In collaboration with department leaders and staff, develop map of current state of Academic Systems reporting requirements.
  • Evaluate current data structures and identify opportunities to enhance reporting, including stakeholder engagement.
  • Design and develop reports and dashboards in Argos/FormFusion.
  • End User Support - 30%
  • Coordinate logistics for meetings, project schedules, and ensure effective collaboration with both internal teams and external partners to support department requirements.
  • Facilitate workshops and training sessions to drive adoption of new processes and technologies.
  • Support change within the Academic Portfolio for business process and system changes in alignment with change management direction.
  • Provide training and support to end-users on the use of procedures, system functionality and processes.
  • Develop training materials, user guides, and documentation to facilitate the adoption of new features and enhancements.
  • Serve as a subject matter expert (SME) for Academic Portfolio related inquiries and troubleshooting.
  • Foster relationships, contribute to business planning, and implement client service level agreements (SLA) to enhance departmental efficiency and alignment with organizational goals.
  • Promote a safe and healthy work environment by adhering to Health Safety and Environment (HSE) standards, and facilitate comprehensive onboarding and training for department employees to ensure high performance and compliance.
  • Continuous Improvement - 30%
  • Proactively identify opportunities for process improvements, system enhancements, and innovative solutions to support the evolving needs of the institution.
  • Understand data required of interfaces to ensure process, system and data integrity.
  • Provide input into the business process improvement and planning cycle for Academic Systems.
Qualifications & Experience
  • Minimum
  • Post-secondary degree or diploma in Business Administration or Business Process design
  • Minimum 5 or more years direct experience preferably in an academic or educational setting
  • Strong interpersonal, facilitation and analytical skills with the ability to understand complex business processes.
  • Demonstrated familiarity with project management or coordination capabilities
  • Exceptional curiosity, connection, citizenship, creativity and critical thinking capabilities
  • Strong relationship building and relationship management skills
  • Detail-oriented with a commitment to delivering high-quality solutions and support
  • Ability to adapt to changing priorities and work independently or as part of a team
  • Preferred
  • Bachelor's degree in Computer Science, Information Systems, Business Administration, or related field
  • Demonstrated familiarity with change management principles
  • Experience with academic systems in a postsecondary institution
  • Experience in Labour Relations

Job Classification: Business Analyst

Salary: $63,000 - $85,000

Number of Positions: 2

Paid Leave: 4 Weeks Vacation/14 Flex Days per year
