This OpportunityOur Vancouver Studio is seeking highly motivated Office Coordinator. The Office Coordinator for the Vancouver studio is the first face of the company and as such is a key role within the studio and beyond. While maintaining the front desk, this person will also work with the leadership team and staff to create a seamless and functioning office through key administrative duties and exceptional interpersonal skills. The Office Coordinator is required to be presentable, enthusiastic, organized and excited to be part of a vibrant and busy architectural and interior design practice.In addition, the Office Coordinator is responsible for maintaining the studio calendar of events and meetings as well as respond to company emails and telephone calls. The Office Coordinator will also be responsible for organizing and distributing mail and/or packages received along with other general administrative duties.Please note that this position is an onsite position.As an Office Coordinator, you will be responsible for:Present a positive, professional response and behavior to all visitors, suppliers, inquiries, and staff.Refer all inquiries to the appropriate individuals or departments across the firm.Respond to telephone, e-mail, and in-person inquiries from clients, staff and other parties.Accept, direct and monitor inbound mail and shipments to appropriate parties.Schedule boardrooms for meetings and events.Maintain reception, meeting rooms and other areas within the Vancouver studio as needed to ensure a tidy and presentable environment.Work with the Administrative team and well as Human Resources team on tasks as necessary.Orders food for lunch meetings or studio social events and assist the team with cleanup.Participate in the studio's social committee.Provide information to staff and/or clients about any special activities and/or events.Work with and assist the Finance & Accounting department on various tasks such as uploading subconsultant invoices and depositing cheques.Assist with Seattle Studio i.e. ordering supplies, couriers.Provide general clerical support as necessary.The successful candidate will possess:Exceptional interpersonal skills.Knowledge of administrative and clerical procedures along with customer service principles and practices.Highly motivated with the ability to work independently as well as in a team environment.Excellent time management skills and ability to multi-task and prioritize work.Extremely organized and detail-oriented.Excellent written and verbal communication skills.Passion for continuous learning.Proficiency in MS Office Suite such as Outlook, Excel, and Words.Previous experience in a receptionist, Office Coordinator, Admin Assistant or similar capacity is an asset.Other Duties:Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for the job.
