HOCKEY COORDINATOR - 1 Year Term (with possibility of extension)

Hollyburn Country Club is a private family Club located in West Vancouver. POSITION SUMMARY:

We seek a self-motivated, organized, and personable individual with strong technological proficiency and exceptional customer service skills. A passion for hockey and/or sports is essential, as is the ability to thrive in a team-oriented environment. Ideal candidates will have some experience in hockey, excellent interpersonal skills, and a basic understanding of accounting principles.

Reporting directly to the Hockey Director, the Hockey Coordinator will manage the daily operations of the hockey department and serve as the primary contact for member inquiries. This role involves close collaboration with the Hockey Director, Minor Hockey Committee, managers, coaches, and management to ensure an outstanding hockey experience for all members.

KEY RESPONSIBILITIES AND DUTIES:

Operations – 20%

  • Assist in creation and communication of year-long ice schedules. Including dressing rooms and program usage for all Club stakeholders
  • Act as contact to Club Management in regards to ice bookings
  • Market, promote, register, check-in and organize Club programs, tournaments, camps, and events
  • Organize tournaments and events as directed including Women’s Spring Fling League, Morgan Reilly Tournament, Photo Day, Staff events
  • Coordinate Private Lesson bookings between Members and Coaches

Minor Hockey Operations – 40%

  • Ensure all Minor Hockey team officials (coaches, managers, trainers) complete certification requirements
  • Provide updates to the Hockey Committee as directed
  • Support coaches and managers administratively (tournaments, billing, dryland, certification, etc.)
  • Manage order process for Minor Hockey apparel, uniforms, equipment, and supplies
  • Jersey management and inventory
  • Assist Hockey Director with organizational details of tryouts, helping set teams, contacting players, etc.
  • Organize concussion testing and awareness for players
  • Assist Referee-In-Chief with management of officiating development programs, events and administration
  • Coordinate monthly Huskies Leadership Award which includes communication for promoting the program, gathering submissions and working with Hockey Director and Hockey Coordinator on selecting recipients
  • Setup and update Epact with team information
  • Assist Hockey Director with organization of end-of-the-year functions with Managers
  • Order trophies for teams, Outstanding Athletes, Year-End awards and update plaques
  • Regularly attend Minor Hockey Committee meetings
  • Assist Hockey Director with updating Manager/Coach handbook
  • Familiarize self with HCR (Hockey Canada Registry)

Financial – 10%

  • Work with Hockey Director and Minor Hockey Committee to balance Minor Hockey budget
  • Assist with hockey financials: team and tournament billings, committee statements, coach reimbursements, etc.

Engagement/Communication – 30%

  • Hollyburn Hockey website and Team Snap administration and updates
  • Provide log-in information and tutorials for team officials
  • Assist Hockey Director to schedule, organize, and facilitate meetings (team officials, parents, players)
  • Scorekeeper/Timekeeper tutorials
  • Assist Hockey Director with “The View” submissions
  • Contribute with weekly social medial content (Hollyburn Country Club and Hollyburn Hockey)
  • Maintain timely responses to all emails and phone calls
  • Alumni –work with Hockey Director to ensure all alumni information is updated including boards, banners, etc.
  • Work with Hockey Director on alumni accolades that should be announced in The View, newsletters, etc. (Alumni Athletic Achievements to be supplied to Athletic Director periodically).
  • 3-5 hours per week leading on-ice skills and instruction

WORKING CONDITIONS:

  • This position operates 100% on-site
  • Available hours include days and times of team or program activities
  • Frequent evenings or weekend work may be required during peak periods or special events
  • Off-season hours revert to a regular work week office hours
  • Own transportation is an asset as public transportation is not frequent to/from the Club

REQUIREMENTS:

  • Demonstrated experience in hockey, either through playing, coaching, or other involvement
  • Exceptional customer service skills with a strong ability to communicate effectively and professionally
  • Proficiency with technology and common software applications (e.g., Microsoft Office, scheduling software)
  • Excellent organizational skills with the ability to manage multiple tasks and priorities effectively
  • Strong interpersonal skills with a personable and approachable demeanor
  • Basic understanding of accounting principles
  • Ability to work collaboratively within a team environment
  • Self-driven and motivated with a proactive approach to problem-solving
  • Passion for hockey and/or sports is highly desirable
  • Flexibility to work evenings and weekends as required
  • You agree to obtain a Criminal Record Check with a vulnerable sector search at your local Police Department immediately upon being hired --- you will be reimbursed for this expense in full

Pay: $50,000.00-$60,000.00 per year
