If you are ready to support and assist a dynamic Facilities Services Team then we may just have an opportunity for you! Serving as a member of the Facilities Services team, and reporting to the Administrator of Planning & Properties, the Coordinator will provide positive leadership and support to the Facilities Services Department, ensuring the efficient management of a database of over 2.8 million square feet of building area with a current replacement value of over $650 million. The successful candidate will be responsible to support the continued development and management of the Facilities department with respect to planning, properties, lease agreements, capital planning and accommodations, legal documentation including sales and purchases of land, and school closures. Work directly with the Controller, Facilities Services, and the Administrator, Planning & Properties executing Niagara Catholic’s Long Term Accommodation Plan, including attendance at after-hours public meetings when necessary. Assist with the preparation of reports and/or updates to management or senior leadership as necessary. Collaborate with the Administrator of Planning & Properties on Niagara Catholic’s Boundary, Attendance Area, and Pupil Accommodation Reviews, as required. Respond to queries from the general public regarding school attendance boundaries and policies, and future school plans for new/developing communities. Coordinate updates to the Ministry of Education School Facilities Inventory System (in transition to the Educational Capital Inventory System or ECIS). Attend public meetings, committees, conferences, etc., as required. Provide support with the maintenance of the portfolio of properties to ensure accurate records and efficient use of space across the Board. Responsible for the organization and storage of all legal documentation including real estate sales/purchases, land leases, land use agreements, reciprocal agreements, etc., ensuring board interests are attended to. Coordinate the disposition of surplus properties in accordance with Ministry of Education procedures for their sale. Knowledge of Niagara Catholic’s Educational Development By-laws, amendments and management considered an asset. Support the department by investigating and responding to queries from board staff and Principals regarding enrolment, attendance boundaries, residential development, boundary changes, transportation issues, etc. Preparation of lease and/or joint-use agreements for properties including educational, administrative, childcare, community use, and partnerships. WHAT YOU BRING: Post-Secondary Degree or Diploma in relevant field or equivalent experience. Minimum of 3-5 years experience in a school board environment with a demonstrated interest in progressing into positions with greater responsibility. Expertise in the preparation and analysis of complex datasets with respect to school board and facilities management needs. Strong knowledge of financial management preferably in a school board environment. Excellent communication skills (written, verbal, and electronic). Must be customer focused and team oriented. Exceptional time management skills and ability to prioritize tasks in a fast-paced environment. Knowledge and understanding of school board planning processes. Working knowledge of the Ministry of Education capital reporting process and capital priority submissions an asset. Understanding and working knowledge of the drafting of contracts and lease agreements while maintaining strict confidentiality. Proficiency in the use of MS Office suite of products Proficiency with GIS and/or Educational Facilities Planning software programs an asset (i.e.Baragar) Proficiency with Niagara Catholic’s financial management system (NAV) or equivalent, and ability to support the Facilities Services team during peak reporting timelines such as year-end.
