The Role:

The Product Coordinator is the primary support for the Optometry Service. The role consists of a combination of administrative duties and working directly with clients to perform preliminary testing prior to their eye exam. The candidate will collaborate closely with product and operational management and be the primary contact for all external vendors, internal departments, and optometrists. This role requires strong interpersonal, organizational and time management skills. The individual will deliver exceptional patient care as part of a team in a fast-paced environment and possess a genuine passion for health, wellness and customer service. This is a client facing role and will require liaising with clients on a daily basis.

The Accountabilities:

  • Manage the Optometrist’s schedule using Salesforce, schedule appointments for patients, confirm appointments via phone or email, and handle appointment booking/cancellation/rescheduling requests.
  • Document and maintain client information using Accuro and Salesforce
  • Conduct preliminary screening tests with patients using ophthalmic instruments, following established protocols.
  • Under the supervision of a licensed optometrist, perform Zocular Eyelid System Treatment (ZEST) on patients
  • Use excellent communication and multitasking skills to respond to customer inquiries in a timely manner, managing multiple client support channels including phone, email, and in-person
  • Quote and discuss fees and payment policies, and address inquiries regarding invoices, payments, and collections
  • Verify patient insurance coverage and handle insurance pre-authorization.
  • Monitor and perform inventory control of retail products and clinical and office supplies
  • Research and procure new products for the practice, develop relationships with vendors, and negotiate pricing.
  • Send referrals to other healthcare professionals as necessary, following established protocols.
  • Liaise and collaborate with Product Manager and Clinical Manager on business and operational initiatives, reporting and product development
  • Assist with training and mentoring of new staff as required
  • Display excellent organizational skills and effective time management
  • Demonstrate Medcan values while interacting with all clients and staff

The Requirements:

  • University degree or College Diploma preferred
  • Minimum of 1-2 years of experience in a customer service position, healthcare environment an asset
  • Previous Optometry experience an asset
  • Demonstrated Ability to think quickly and creatively and be eager to learn and take initiative
  • Demonstrated ability to communicate effectively and professionally with clients and colleagues
  • Proficiency in Microsoft Office, Outlook and Salesforce is an asset
  • The ability to navigate difficult conversations and interactions with professionalism
  • A proven track record of satisfactory attendance, punctuality and reliability

This is a full-time position working in clinic 5 days a week scheduled Monday-Saturday at our 150 York Street location.
