Board Administrator Role Summary: This position will support the Senior Director, (Board Operations) and assist with Board-related activities including administration of travel, meeting logistics and distribution of materials, as well as being responsible for a wide range of administrative support that enhances the efficiency of the Board Operations.  About the Role In this role as Board Administrator , you will manage: Determine and secure meeting spacesManage meetings’ logistical needs, including catering and oversight of technology requirementsSet up meeting rooms and handle printing requirementsProvide onsite support during the meetings Manage travel logistics of Boards and committee meetings for Directors as required, such as flights, hotel and airport transfersHelp track and generate expense reports for Board-related meetings Back up support for Board and Committee materials uploads onto Diligent for all Thomson Reuters Board of Directors committee meetings, Board meeting pre-read and presentationsSupport the distribution of additional Board materials via Diligent including press releases, earnings announcements, quarterly analysts’ reports, etc.Keep Diligent current (calendar and listing of analysts’ reports)Coordinate Diligent and other Thomson Reuters products demo, access and training to Directors Schedule appointments/meetings, such as Board prep meetingsAdditional project management as required (i.e, assist with flow of Board Operations operating rhythm).Assist with presentation preparation, ad-hoc reporting, preparation of templates, etc.Help manage documents, such as meeting materials, logistics and travel details on the Board Operations HighQ site.Help track attendance, minutes signing, director requests in HighQ or Teams to ensure better organization and efficiency in Board Operations Expense report managementProvide travel assistance, including flights and hotel bookingsAssist with calendar management, schedule internal and external meetings and provide any support for those meetings as neededPreparing correspondence, communications and presentationsOther projects as assigned About You You’re a fit for the role of Board Administrator , if you have:  Qualification 5-7 years previous experience working for senior executives in a corporate environment Very proficient in MS Office, to include Outlook, Word, PowerPoint & Excel MS Teams knowledge Experience with managing projects and meeting planning preferred Skills/Abilities Ability to handle confidential information and matters with discretion Ability to establish close working relationships with directors, trustees, the Executive Committee and their assistants Excellent planning and organizational skills Proactive, with an ability to problem solve Excellent prioritization skills and able to work without close supervision Strong communication skills Must be well organized, with a strong attention to detail, and able to multitask Possible travel to Thomson Reuters Board meetings (offsite meetings) as needed Extra hours around Board meetings as needed #LI-DS4 What's in it For You?
