Role:
As Sport Program Coordinator you will assist with the co-creation, development, resourcing, delivery, evaluation, performance, and evolution of the Skating, Climbing, and Camp experiences. You will create and connect with our customers, community and employees in ways that are impactful in driving and advancing our cause. You will participate in re-imagining, overseeing, and evolving the functions of the skating and camps team and bring Vivo experiences to life. You’ll mentor the team to deliver strong results and impact.

Responsibilities:
Program Management:

  • In collaboration with the Schools & Camps Manager, build strong relationships with our skating, climbing, and camp audiences to determine their needs, what they value and translate insights and learnings to the team.
  • Participate in re-imagining the experience development process through a service design thinking lens and then implement and build capacity in the skating, climbing and camp teams.
  • Foster an active, social, inclusive, and engaging learning environment for children and families and team members by encouraging a healthy positive cultural mindset.
  • Work alongside the Schools & Camps Manager to promote skating, climbing and camps and provide accurate communications to current and future program participants and their families.
  • Demonstrate an upbeat, approachable, and engaging personality to create a sense of community in all programs.
  • Participate in the preparation and delivery of appropriate presentations on products and services to members.
  • Deliver skating, climbing, and camp offerings by creating potential business cases, curriculum and play based experiences, school and birthday activity days and participation in the creation and delivery of related special events.
  • Take the lead on responding to customer inquiries and seeking resolution.
  • Facilitate communications with parents/guardian, participants, the team and direct supervisor in a timely and professional manner.
  • Participate in championing Vivo at special events i.e. everybody plays, open house, community events, etc.
  • Perform camp, skating, and climbing administration duties including, but not limited to:
    • Overseeing and managing all aspects of skating, climbing, and camp offerings in Avocado including managing waitlists, enrollments, registrations, participant payments and customers’ accounts, planning, programming, and inputs into the software.
    • Assisting team members with the completion of necessary forms and e-forms on the first day including: talent release form, field trip forms and safety waiver forms.
    • Assisting the team members with the sign in/sign out processes.
    • Maintaining current camps administration for team members, and families (binders, emergency backpacks).
    • Track, monitor and report spontaneous usage and impact; weekly, monthly and annually.
    • Responding to emails and phone calls.
    • Completing seasonal inventory of equipment and supplies.
    • Completing accident and injury, hazard reports as needed.
Leadership:
  • Assist the Schools & Camps Manager with recruiting, onboarding, mentoring, training and the day-to-day performance management of the Skating, Climbing, and Camps team utilizing Human Resources policies and best practices.
  • Create and manage daily, weekly, and monthly team and activity schedules.
  • Lead and provide clear direction and expectations to the skating, climbing, and camp team members on roles and responsibilities and empower and hold the team accountable for achieving established work plans and targets through the regular follow-up, feedback, and coaching.
  • Be accountable for the development, progress and evaluation of work-plans and performance targets for the skating, climbing, and camp teams.
  • Perform scheduling and payroll for the skating, climbing and camp team members.
  • Actively participate in the assessment, revisions, and development of operational policies, procedures and training manuals to ensure they are aligned and support business and team practices.
  • Ensure lesson plans for all programs are inclusive of current best practices and standards and are electronically documented.
  • Observe programs daily to ensure that Vivo values are being upheld throughout the delivery of all offerings by engaging in skating, climbing, and camps activities and remaining accessible and visible to parents, children, and instructors.
  • Lead consistent debriefs with the teams and report back to the Schools & Camps Manager.
  • Demonstrate a high standard of supervision, risk assessment, Vivo’s best practices, and duty of care within camps, skating, and climbing by actively maintaining health and safety standards, first aid incidents, and equipment inventory of first aid kits.
  • Create and facilitate in-services for teams. Responsible for knowing Vivo’s Health & Safety policies and procedures to train all skating and camp instructors.
  • Perform and lead all preventative maintenance and certifications on equipment (tools provided).
  • Recommend necessary replacement items to maintain service and compliance of all certifications, ensure safety or improve efficiency.
  • Work with the Schools & Camps Manager to order parts and equipment from the most appropriate and cost-effective sources available.
  • Assist with the development of the skating, climbing, and camps annual budget and understand and monitor key components that influence targets.
Qualifications:
  • Post-Secondary Diploma and/or University Degree in healthy living, experience and place making, kinesiology, recreation, social innovation, business or related field.
  • Minimum 3 years of leadership and supervisory experience.
  • 6+ years experience in fitness field.
  • 2-3 years progressive experience in skating, climbing, and camps developing curriculum, and assessing and modifying program lesson plans.
  • 1-3 years leading and supervising camps or equivalent programs.
  • Current Intermediate First Aid and CPR-C/AED certifications.
  • Police Information Clearance with Vulnerable Sector Search, completed within the past 3 years (internal team member); 2 months (new team members).
  • Strong written and verbal communication.
  • Candidates with additional certifications and training in various coaching, hockey, skating and play disciplines will be considered as an asset.
  • Candidate must maintain and be in current compliance and good standing with the following:
    • Skate Canada
    • Alberta Camping Association (ACA)
    • AB Figure Skating Foundation
    • Canadian Standards Association (CSA)
  • Incumbent must work 40 hours per week and will require evening, weekend and daytime hours based on program start ups and current needs of the department.
