PURPOSE OF POSITION As part of the Destination Management Division, the Co-operative Marketing Partnerships Programs department drives industry engagement through enhanced knowledge of Destination BC’s programs and offerings. The Co-operative Marketing Partnerships Program (“Co-op Program”) is an application-based program that provides co-operative, consumer-focused marketing and promotional funding to Community Consortiums and Provincial Tourism Experience Sector Organizations in BC. The intention of the Co-op Program is to foster industry collaboration, align marketing efforts with Destination BC’s strategies, and connect industry to the provincial brand by building brand equity through all province-funded marketing initiatives. Reporting directly to the Senior Advisor, Marketing Co-op Partnership Programs, this role provides support to the Co-op Program and acts as a key liaison between Destination BC and the tourism industry to facilitate collaboration and participation in marketing programs. This role works in close partnership with our Global Marketing and Finance teams and requires a high degree of collaboration to support corporate priority initiatives. The Coordinator provides support to sectors, community consortia, and individual businesses to enhance their knowledge and understanding of the opportunities and programs provided by Destination BC’s Co-op Programs. This role may also support Destination BC’s administrative responsibilities of the Municipal Regional District Tax Program (MRDT) as needed to ensure seamless business unit operations. SPECIFIC ACCOUNTABILITIES Develops and enhances complex relationships and partnerships between Destination BC, sectors, community consortia and individual businesses to further the understanding of the Co-op Programs and any program evolutions; Provides guidance and support to industry partners, tourism business and regional organizations during the development of consortium and sector-based marketing applications for Destination BC’s Co-op Programs; and may support MRDT application, renewal and annual reporting process as required. Provides support and input into the development and ongoing evolution of program application guidelines to ensure the consistency and transparency of the process; Under direction of the Senior Advisor Co-op Marketing Programs, provides support to the evaluation of applications process, ensuring consistency with Destination BC’s guidelines and provides feedback and support to applicants as required; Provides project management support and administers all activities within accepted project management standards to facilitate the development of tourism plans while working collaboratively with program facilitators and community/sector representatives; Develops and manages all project documentation (e.g. project plan, status reports, approvals and close-out) ensuring all projects follow appropriate project management procedures; Represents Destination BC at conferences, seminars and workshops as required. Plans and coordinates in person and virtual meetings, conferences and events as required; Liaises with other Destination BC program areas (Destination Development, Industry Development, Global Marketing, Research and Analytics, Visitor Services and Corporate Communications) to ensure the flow of information is maintained as it relates to co-operative marketing activities; Provides reporting and tracking of co-operative marketing activities/MRDT recipients and funding as required; Prepares, monitors and tracks contracts ensuring compliance with established policies; liaises with contractors to provide general work direction & ensure delivery of services in accordance with contract terms and conditions; resolves routine issues and escalates non-compliance; Monitors budgets, prepares month and quarter-end variance reports, processes invoices and monthly purchase card reconciliations, and applies appropriate coding and backup coverage; Proactively identify and act on opportunities to improve processes, procedures, and documentation for the unit; Proactively communicates with program participants as it relates to Destination BC’s strategy and activities. Assists the Senior Advisor and Manager, Co-op Marketing Programs, with quarterly financial reporting and annual business planning process; Other related duties as required, including providing project support to corporate priority initiatives. JOB REQUIREMENTS Diploma in marketing or business and a minimum 3 years’ experience in a tourism related field; or an equivalent combination of education and experience; Minimum 2 years’ experience partner relations development and maintenance; Minimum 2 years’ experience in planning and organizing meetings, conferences and events; Knowledge of project management and change management principles and practices; Proven experience developing contracts and contractor relationship management; Proven experience managing and reporting on budgets and financial tracking; Demonstrated experience in preparing written reports; and presentations; Demonstrated experience in desktop applications including spreadsheets, database maintenance, presentation software and word-processing. (MS Office preferred) Experience using SAP, Salesforce or an Information Management System will be considered an asset.
