POSITION SUMMARY:

As our Front Desk Supervisor at our Cape Crossing or River Fly Inn, you will be pivotal in ensuring exceptional guest experiences and efficient operations. You will oversee various functions related to guest reservations, communication, property management, and team coordination. Your ability to handle tasks across multiple platforms and effectively manage guestinteractions will contribute to the success of our property. You will work in person at one of our resorts and deal with other properties within our portfolio.

RESPONSIBILITIES:

Guest Reservation Management (Guesty):

  • Create, modify, and manage guest reservations in the Guesty platform.
  • Process changes to reservation dates, issue refunds, and charge credit cards as necessary.
  • Schedule payments and ensure accuracy in financial transactions.
  • Communicate with guests via messages, in person, and over the phone, maintaining a professional and courteous demeanor.
  • Utilize Guesty's features to access reservation history and search for previous guest communications.
  • Generate and analyze reservation reports to support decision-making processes.

Communication and Team Coordination:

  • Communicate effectively with cleaners, managers, and other staff members to facilitate smooth operations.
  • Address guest issues and complaints calmly and professionally, ensuring resolution to their satisfaction.
  • Coordinate maintenance tasks and assignments using Breezeway, monitoring room cleaning status, and assigning tasks to cleaners.

Assist managers with Guest Escalations:

  • Serve as a point of contact for guests with complex inquiries or complaints, ensuring resolution to their satisfaction.
  • Collaborate with the front desk team to address and resolve escalated matters efficiently.

Property Management Oversight:

  • Supervise the running of the property, including overseeing the front desk operations and ensuring smooth workflow.
  • Coordinate with department managers to address operational challenges and optimize efficiency.

Team Coordination and Communication:

  • Communicate effectively with cleaners, managers, and other staff members to ensure cohesive teamwork and alignment with organizational goals.
  • Provide guidance and support to front desk staff, assisting with training and development as needed.
  • Foster a positive work environment by promoting open communication and collaboration among team members.

Additional Duties:

  • Answer phone calls and handle common inquiries or requests.
  • Make, modify, and cancel reservations as needed. Handle guest issues promptly and professionally, including small requests such as additional towels.
  • Conduct regular checks of door locks and ensure proper functioning of access codes and lockboxes.
  • Upon arrival to work, perform clubhouse cleaning duties, including vacuuming and mopping the front area.
QUALIFICATIONS:
  • A high school diploma or equivalent and additional education or certification in hospitality management is a plus.
  • Previous experience in a guest service or property management role is preferred.
  • Proficiency in using property management software such as Guesty and Google Suite applications.
  • Excellent communication and interpersonal skills, with the ability to handle guest interactions with professionalism and empathy.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
COMPENSATION & BENEFITS:

Hourly: $17.00 - $20.00
