We’re currently looking for a Project Coordinator Indigenous Parallel, Planet Youth Calgary to join our team. Reporting to the Manager Indigenous Parallel, Planet Youth Calgary, the Project Coordinator Indigenous Parallel, Planet Youth Calgary will provide administrative and project coordination support to support the development and implementation of the Indigenous Parallel of the Planet Youth initiative. This will include support to the Indigenous Parallel Manager and Director of Planet Youth, as well as support to external committees and cross-functional internal teams. Work may also be done to support the Director of Akak’stiman and the Indigenous Strategy for United Way Calgary and Area.If you are passionate about your community, aspire to make an impact, thrive in a fast-paced environment, and want to make a difference, then we’re looking for you!What you will do:Coordinate and make relatives with Indigenous Cultural Supports (Knowledge Keepers, community service providers)Experience with the coordination of Indigenous cultural events and comfortable participating in and supporting community gatheringsLiaise with Elders and Knowledge Keepers to ensure Indigenous knowledge, ceremonies, and practices are included in PYCRepresent the Planet Youth team professionally with an open, inclusive and supportive styleCompile and organize documentation and calendars for meetings, projects, publications and ensure appropriate follow-up including meeting minutesManage and coordinate reporting to leadership, internal and external stakeholder groupsPrepare and maintain a variety of records, files, including information of a confidential nature Monitor expenses and allocations to budgets, prepare invoices and cheque requisitions and coordinate contracts for the team Prepare a variety of intermediate to advanced documents including PowerPoint Presentations and communications supportAssist in assuring the success of performance review planning and monitoringSupport new staff onboarding and administrative supportComplete expense reports as required Arrange travel, including logistical preparation, materials preparation and appropriate follow-up Support staff with project management and coordination, including creating timelines, workback schedules, reports, and assigning of and monitoring completion of tasks Plan, organize and execute small scale and larger scale events, conferences, special projects, and meetingsLiaise with other departments and work cross functionally as requiredWhat you will bring Experience:Three years of organizing and supporting with the implementation of community-based projects/initiativesExperience working with Indigenous communities preferred Degree with an emphasis in Indigenous education, history, health and well-being would be an asset A minimum of three to five years of progressively responsible administrative experience in office and administrative proceduresProject coordination experience considered an assetDemonstrated experience working with senior leaders and a variety of external stakeholdersPrior non-profit and executive office environment experience is preferred Attributes:Emphasis on building positive, reciprocal relationshipsDiplomacy when navigating internal, community, and partner relationshipsFamiliarity of local Indigenous cultural practices and protocolsExcellent interpersonal and communications skillsStrong problem-solving skills Demonstrate flexibility and curiosity to support a transformational, youth-centered initiativeDetailed oriented while meeting deadlines Ability to plan, organize, manage priorities, and allocate resources effectivelyStrong analytical skills Strong ability to multi-task in a fast-paced environment with changing prioritiesProficiency in Microsoft Office Suite software, including Word, Excel, PowerPoint, Teams, and Outlook schedulingKnowledge of SharePoint an asset Ability to learn and adapt quickly to new working environmentsUnited, we make the biggest differenceUnited Way is a not-for-profit organization that has played a vital role in our community for over 80 years.
