Job Summary:

  1. This position involves performing a range of clerical and administrative tasks to support the operations of the human resources department.
  2. Tasks include managing files, handling correspondence, processing new hires, and maintaining employee files.
  3. Effective organizational and communication skills are essential for success in this role, along with proficiency in office software and an understanding of HR processes and procedures.

Qualifications:

  1. High school diploma or equivalent required; Associate’s degree or coursework in human resources or a related field preferred.
  2. Minimum 3-5 years secretarial experience, preferably in an HR and/or school district setting.
  3. Demonstrated experience and proficiency working with a culturally, ethnically, racially, and socioeconomically diverse school community preferred.
  4. Exceptional customer service and communication skills; ability to remain respectful and professional in interactions with district staff and public.
  5. Ability to serve in a confidential manner as it relates to employee and candidate information.
  6. Strong computer and technology skills; Proficient with Microsoft Office software, especially Word, Excel, Google, and Google Docs; Experience with Skyward, Frontline, and/or other school district systems preferred.
  7. Strong attention to detail and accuracy.
  8. Ability to manage many tasks with frequent interruptions.
  9. Ability to work independently and to work collaboratively with HR team members.
  10. Good organization and time management skills.
  11. Flexibility in dealing with new and changing conditions in the workplace.

Essential Duties and Responsibilities:

  1. Perform clerical duties and functions within the Human Resources Department including but not limited to:
  2. Perform general clerical duties, including answering phones, responding to emails, and maintaining office supplies.
  3. Files forms, correspondence, and/or documents in human resources systems in accordance with established department routines.
  4. Assist with the administration of teacher lane changes, including tracking and checking applications and communicating with employees regarding the status of their lane.
  5. Schedule and manage materials for student teacher orientations.
  6. Coordinate and process hiring, assignment changes, and separations of designated employee groups including maintaining HRIS system and employee records and processing and distributing wage statements.
  7. Process new hire background checks and monitor for physical exam completion.
  8. Work closely with payroll regarding employee assignments and processing associated pay.
  9. Assist with completion of the district's Staff Automated Reporting Report (STAR Report) for all non-licensed employees.
  10. Monitor Human Resources information email inbox.
  11. Cross-train with other members of human resource department and provide back up.
  12. Provide clerical support to human resources administrators.
  13. Other duties and responsibilities as assigned.

Physical Requirements:

  1. Regularly required to sit, stand and move about the district office area, operate a computer and other office equipment, and must be able to lift and/or move up to 10 pounds at times.

Compensation: RAVE Clerical Association – Wage Group I : $24.38 - $27.36 Hourly (based on 2024-25 contract)
